AFB is seeking an Administrative Coordinator. The successful candidate will be responsible for providing administrative and accounting support for the Business Services group. This position reports to AFB’s Chief Business Officer and is based in Huntington, WV.
Duties and Responsibilities
Generate and monitor purchase requests and emails for Business Services group. Complete Amex allocations, timesheets, and other financial forms for department staff. Communicate with vendors to reconcile accounts, as needed.
Support administrative services, facilitating the renewal of service contracts and commercial insurance policies. Set up and maintain accounts for mailing and shipping, group purchasing, and transportation programs. Provide ongoing support to the Huntington office by distributing mail and depositing checks.
Review organization-wide American Express allocation documentation submitted, prepare monthly journal entries, and reconcile the advance accounts by updating supporting schedules; monitor submissions, following up with employees missing monthly documentation. Provide general accounting systems support, as needed.
Monitors grants and paid services fund balances. Prepares journal entries and sales orders as needed. Reconcile grants against gift documentation and investigates any differences.
Assist Finance Staff with Accounts Payable process, Budget process, and General Ledger reconciliations. Monitor accounts receivable reports and follows up by email and phone on overdue accounts.
Perform other duties and special projects, as assigned.
Two-year college degree in accounting or equivalent plus two years’ experience in relevant office work involving administrative support duties and/or accounting duties. Intermediate-level Excel and Word, and accounting/bookkeeping training and/or experience required. Experience with computer/cloud-based accounting systems helpful, particularly with Oracle+Netsuite. Must be a self-starter, with strong attention to detail, organized work style, analytical skills, proficiency with time management and ability to prioritize and follow through with minimal supervision. Strong customer service orientation with the ability to interact with others clearly and comfortably, internally and externally.
*Work is performed in a professional office environment or may be performed remotely in the Huntington, WV area; general office hours are 8:30 AM – 4:30PM local time.
*Incumbents routinely uses standard office equipment including computers, phones, etc.
